Activity logs keep your security team accountable and they keep you informed of activity around your business.

A security team puts a lot of time and effort into patrolling grounds, but they can’t operate alone. They need to be able to communicate with management to alert them to security issues and seek lasting solutions to these problems. Activity logs are a great method for communicating with a security team without having to hold in-person meetings. With activity logs, management can review security notices from the guards, even when they are not on duty.

Premises Monitoring

Security guards sometimes need to do rounds to patrol all areas of the premises. It’s important that these paths are changed randomly so potential threats to the property can’t determine which route the guard will take on any given day. While on these rounds, guards will take note of any suspicious activity as well as any security events such as attempted theft or trespassing. Anything of note will then be recorded in an activity log.

Activity Logs

Activity logs are a line of communication between management and the security team. It allows security to alert them to any issues they may be facing, patterns that have become apparent, and weak points of the property that are being targeted. This allows management to take action and make decisions on how to proceed to tighten security and experience fewer problems. As always, the best crime is one that has been prevented. Activity logs allow management to determine long-term solutions that help to deter criminals and keep the property well-protected.

Times

Security guards will include arrival and departure times, along with the times associated with any security events or suspicious activity. When patrolling, they should also be sure to record the start and end times of each patrol route. These are important for creating an understandable timeline of events in case of an issue, or crime. Having this timeline that can assist law enforcement in understanding the breakdown of events if the issue requires legal intervention. 

Routine Preventive Measures

Including a detailed report of routine preventive measures is important for clients. Security guards should make note of these to prove their value. Letting the client know what measures are already in place can help them determine if they feel new or updated measures are needed and discuss it with their security team.

Suspicious Activity

A security guard’s log activity log should note anything unusual or suspicious that took place during their shift. Incidents should be noted in activity logs, but incident reporting is a separate matter that does not pertain to a guard’s daily logs. Noting suspicious activity lets a client know that the guard is alert and keeping close tabs on the property, which can offer a morale boost to management and employees who feel safe in their work environment.
